Key Responsibilities
Project Management
- Function as Executive Producer on all major projects managing production and programming teams.
- Steer initiatives and projects in line with the overall strategic direction of the organization.
- Set project goals and desired outcomes; measure, manage, monitor and track progress.
- Budget management, ensuring that all projects are delivered on-time and within scope.
- Identify potential project risks and mitigation strategies.
- Provide project status updates to the Executive Director and Board of Directors.
People Management and Leadership
- Provide leadership and mentorship to five direct reports.
- Motivate, organize, and respond to the diverse needs of the overall team, promoting productive working relationships.
- Implement performance evaluation system, setting KPI's, goals, and conducting performance reviews.
- Undertake all HR administration including HR policies, recruitment, compensation, benefits, training and other areas as required.
- Provide regular staff feedback ensuring that they are achieving personal and organizational goals and objectives, and supporting their professional and personal development.
- Build excellent working relationships with multiple stakeholder groups.
Operations, Finance and Budgets
- Oversee all daily business operations.
- Develop and implement strategic and operational plans to ensure that Small World Music operates sustainably and productively.
- Ensures alignment with Small World Music's goals.
- Develop and monitor annual operating budget in conjunction with the Executive Director and Board.
- Work with direct reports to develop departmental budgets.
- Maintain fiscal responsibility, timely reporting, and on-going transparency with the Board about the organization’s finances.
- Ensure internal controls and financial practices and procedures are in place, implemented and in compliance with the Canada Revenue Agency, applicable policies, regulations, and best practice requirements of the charitable sector.
- Undertake to achieve positive revenue outcomes through conferences, projects, and studio rentals.
- Negotiate and manage all supplier, vendor, and contractor agreements, including accounting and legal.
Skills
- Strong financial acumen and experience developing strategic and operational budgets.
- Exceptional interpersonal skills, with the ability to grow a cohesive work culture.
- Aptitude in decision-making and problem-solving.
- Excellent communication skills in English, both verbal and written.
- Proficiency in business productivity tools, cloud-based platforms (knowledge of Keela CRM an asset), and devices.
- Exceptional time management, planning, and organizational skills, with an emphasis on detail and accuracy.
- Ability to work as an independent contributor and as a collaborative leader of a team.
Qualifications
- Three years of similar operations and/or leadership/people management experience is preferred.
- Proven relevant experience in the Canadian nonprofit sector.
- PMP designation or equivalent an asset.
- Experience in Performing Arts / Music Production / Conference Management an asset.
- Fundraising experience as asset.

Compensation
- The hiring range for this role is $80,000 - $105,000.
Workplace Environment
- Primarily in-person at Small World Music office located at 180 Shaw Street in Toronto.
- Hybrid flexibility is possible but subject to work demands.
